Privacy Policy

Vacagent helps you and your crew plan a trip together. The details you share are stored for everyone on the trip, and your chat with the AI concierge is processed by an AI provider. We don't sell your data.

Who we are

Vacagent is built and operated by Cool-S Technologies, the independent software studio of Cameron Severn. This policy explains what data Vacagent collects, why, and the choices you have. Questions? Email cameron@cool-s.com.

What we collect

Account details (email, display name). To create your account and let crew members recognize you on a shared trip.
Trip data you and your crew add (destinations, dates, places, events, polls, and chat). To build and store the shared plan. Anything you add to a trip is visible to the other members you've invited to it.
Messages with the AI concierge. To plan and refine the itinerary in conversation, and to keep a history of the plan.
Basic device and usage diagnostics. To fix bugs and improve planning quality.

How we use your data

We use the data above to provide and improve Vacagent: to run its core features, keep your account secure, fix bugs, and understand how the app is used. We do not sell your personal data, and we don't use it for third-party advertising.

Trips are shared with the people you invite

Vacagent is built for planning together. When you join or create a trip, the places, events, polls, and chat on that trip are visible to every member you've invited. Only invite people you're comfortable sharing those details with.

Services we rely on

To run Vacagent we use a small number of trusted third-party services. They process data only to provide their service to us:

AI / LLM provider. The trip details and messages you enter are sent to third-party models (via an AI gateway) to power the concierge and generate itineraries.
Google Maps Platform. To find places, look up directions and transit routes, and geocode locations for your plan.
Open-Meteo & text-to-speech. To show destination weather and read out local phrases for pronunciation.
Cloud hosting, database & sign-in. To authenticate you, store the shared trip, and sync changes to your crew in real time.
Analytics & crash reporting. To understand usage and fix issues.

Data retention

Shared trips are kept while the trip exists and your account is active. You can leave a trip, delete a trip you organize, or delete your whole account at any time.

Your rights and choices

You can request access to, correction of, or deletion of your personal data at any time by emailing cameron@cool-s.com. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA — we honor those requests regardless of location.

Security

We take reasonable technical and organizational measures to protect your data. No method of transmission or storage is perfectly secure, but we work to keep your information safe and limit access to it.

Children

Vacagent is not directed to children under 13 (or the minimum age of digital consent in your country), and we do not knowingly collect their personal data. If you believe a child has provided us data, contact us and we will delete it.

Changes to this policy

We may update this policy as Vacagentevolves. When we do, we'll revise the effective date above and, for material changes, provide a more prominent notice.
